NEW STUDENTS - How to Set up Multifactor Authentication (MFA) and Self Service Password Reset – All Platforms
Modified on: Wed, 19 Feb 2025 09:09What is Multi Factor Authentication (MFA) and Why is it Important?
Multifactor authentication (MFA) adds an extra layer of protection to the AUB sign-in process and helps protect against data breaches and online fraud.
When accessing AUB systems off campus, or via the Eduroam WiFi network on your personal device, MFA will ask you to provide additional identity verification, either via a smartphone app or in the form of a passcode sent via text message, phone call or alternate email address.
How often will I need to use MFA?
On campus, you will not be required to use MFA unless using the Eduroam WiFi network.
Off campus you will be required to use MFA to reauthenticate your account with each device you log into. That device will then be trusted, and you won’t be asked again for 60 days.
When your password is changed you will be required to use MFA to reauthenticate your account.
Authenticate using Phone or Email
If you are unable to use the Microsoft Authenticator App or do not have a smart phone you can elect to use a different authentication method. These include text message, email or phone call. Please refer to the alternative method guide here:

We recommend setting up these alternatives even if you use the Microsoft Authenticator App, as they can be used if you have no wifi or have switched to a new phone and not set up the app yet.
What is Self Service Password Reset (SSPR)?
When you have signed up for MFA, Self Service Password Reset (also found on myAUB -> IT Support) gives you the ability to reset your password or unlock your account on and off campus without having to contact the Service Desk. This requires that either multiple MFA methods (app, text, alternative email, etc.) or security questions have been set up beforehand, so we recommend doing so as soon as possible.

Please note that Microsoft Authenticator is FREE software. If you are asked to make a payment within Authenticator, you have accidentally installed the wrong app.

How to set up MFA and SSPR
You will be asked to set up MFA when you first sign into Outlook, Teams, myAUB, or other Microsoft Office software.
We recommend downloading the Microsoft Authenticator App before you first need it. Guides for download can be found here:-

This setup example will demonstrate using myAUB, as this can be accessed from any location, independent of AUB wifi access.
To set up Multi Factor Authentication for your Office 365 account:
On your computer
1. Browse to myAUB (https://my.aub.ac.uk) and sign in using your AUB email address (e.g.123456@my.aub.ac.uk) and your matching password.
2. You will be asked to supply “more information”. Select “Next”
3. You will be presented with the below window. Leave the “Keep your account secure” window on your workstation\laptop screen, and move to your mobile phone to set up Microsoft Authenticator.
On your mobile device
4. If you have not installed the Authenticator, please see the article linked previously.

5. Once you have installed Microsoft Authenticator, open the app.
6. Agree to Microsoft’s Terms and Conditions.
7. You will be given several methods to add an account. Please select “Scan QR code”
8. The app will ask for permission to use your camera. Please grant this.
On Your Computer
9. On the “keep your account secure” screen, select next.
10. You will be presented with a QR code.
On your mobile device
11. Scan the QR code with the Authenticator app.
12. If prompted, allow notifications
13. The app will be configured for your AUB account. This may take a short while.
14. Once complete, your AUB account will be listed in the app, similar to below.
On your computer
15. You now need to confirm that the Microsoft Authenticator app has been correctly configured. On the window with the QR code, select “next”.
16. Your computer will now send an authentication request to the app.
17. A new window will appear, showing a number.
On Your Mobile Device
18. A notification will appear. Click to open Authenticator.
19. You will be asked to enter the number displayed on the computer. Do so, and select “Yes”.
On your computer
20. Your computer will acknowledge the authenticator success.
21. Click next. You will now be prompted to set up a second authentication method. You can use your mobile phone via text message or call, or you can use your personal (non-AUB) email address. We recommend using your mobile phone via text. Select that option and hit next.
22. You will be prompted to select your country code from a list.
23. Enter your phone number and press next.
24. Microsoft will send you a text message containing a six-digit code. Enter that on the next window and press next.
25. The text code will be checked, and authentication confirmed. Press next.
26. You have now configured the two authentication methods needed for MFA and SSPR.
